Important Information for SummerKids

Hello SummerKids Friends! Welcome to SummerKids 2025! We are so excited to have you join us at this incredibly unique summer program. We're going to have loads of fun—Camp Fire style! This page shares important information that parents, guardians and campers need to know to help ensure an awesome experience. Please read through this page carefully and prepare accordingly. We look forward to seeing you soon!

SummerKids 2025 will take place at an elementary school in Bend—exact location coming soon! In case of excessive heat or smoke, campers have room to move, play, and create indoors. Our Zen Zone and behavior resources help youth regulate when feeling big emotions—a great way to practice those skills before heading back to school!

SummerKids Program Details

HOURS AND COSTS: (Program costs coming soon!)

  • Program hours: 9 a.m. to 3:30 p.m.
  • AM extended care:  7:30-8:30 a.m. 
  • PM extended care: 3:30-5:30 p.m.

What to Bring Every Day

  • Water bottle
  • Lunch and at least two snacks
  • Closed-toed shoes—no flip-flops, please
  • Sunscreen and Layers—we will be outside as much as possible, no matter the weather

In addition…

  • All belongings must fit in ONE bag that closes, including layers
  • Please leave personal toys, games and electronics at home
  • Families will be called if campers do not have lunch, snacks or closed-toe shoes, and will be expected to drop the items off

Drop-Off & Pick Up Procedures

To limit the amount of time each family has to wait... We are implementing staggered pick-up and drop-off times by the participant’s first letter of their last name. Please see times and important details below:

  • A-H: 8:45 a.m. - 8:55 a.m. / 3:30 p.m. - 3:35 p.m.
  • I-P: 8:55 a.m. - 9:05 a.m. / 3:35 p.m. - 3:40 p.m.
  • Q-Z:  9:05 a.m. - 9:15 a.m. / 3:40 p.m. - 3:45 p.m.

Drop-Off

Allow 10-15 minutes of extra time on Monday mornings. We ask this because kids need to figure out where to go! The process gets much quicker Tuesday through Friday. When you arrive, please remain in your car and pull all the way around the circle to where you see the Camp Fire sign and staff standing with clipboards. At drop off, staff will sign your camper in, ask some questions, and direct them where to find their counselor.

If you arrive before 8:45 a.m., please pull all the way up to the Camp Fire sign and remain in your car until staff come outside and are ready to start the sign-in process promptly at 8:45 a.m.

If you arrive after 9:15 a.m., staff have already begun their day, so please remain in your car and call the camp phone at 541-728-3336, and someone will be outside in a few minutes to sign in your camper.

Pick-Up

There Is NO Pick-up Between 2:45 p.m. - 3:30 p.m.!!!! 

If you need to pick up before 2:45 p.m., please contact staff when you arrive by calling 541-728-3336. Allow ~5-10 minutes for us to collect your kiddo and bring them out to meet you.

Dashboard Signs: We will have a dashboard sign with the last name(s) of your camper(s) ready to distribute on the first morning of camp. If you are comfortable with it, please prop the sign up on the right-hand side of your dashboard during pick-up. This will enable us to see the last name of your youth(s) and get them ready to meet you at your car as quickly as possible. If you are not comfortable with this process, that is okay. The goal of this is to help the pick-up process run smoothly and quickly.

To guarantee the safety of all program attendees, we require that either an ID is shown to staff to make sure you are on the authorized pickup list for individual campers OR that you set up a pickup password (see below).

Password Pick-Ups

What is a pick-up password? A pick-up password is a unique word or short phrase you can use to pick up your children instead of using our authorized pick-up system. With a pick-up password, anyone who has the correct password can use it to pick up your child. They will not need to show a photo ID. The primary account holder of your family's UltraCamp account can change your password at any time.

How to Add a Pick-Up Password to Your Account:

1. Visit your Ultracamp Account's Document Center.

2. Click on the Pick-Up Password form.

3. Select the participant.

4. Fill it out with a short, unique word or phrase to serve as your password.

*You will need to fill out the form for each participant in order for the password to show up in their pick-up information. We recommend using the same password for all youth in the same account.

Don't want to use a pick-up password and prefer that all adults picking up my child have their ID checked? No problem! With authorized pick-ups, anyone picking up your child will need to be on your list of authorized pick-ups in your Ultracamp account AND have a photo ID to show us at pick-up.

If you do not set up a password, the default is that we will ask anyone who comes to pick up your child for their photo ID in lieu of a password. No action is needed. You can check, add or delete authorized pick-ups here. Please contact us for changes made within 24 hours as they are not reflected on our printed forms.

Extended Care and Late Pick-Up Fees

Extended Care: Extended Care drop-off is between 7:30-8:30 a.m. If you arrive after 8:30 a.m., you will need to wait for regular drop off at 8:45 a.m. as we are busy getting ready for all our campers to arrive! Pick-up is up until 5:30 p.m. Extended Care must be reserved in advance. Log in to your account to check your reservations and see if you have signed up for Extended Care.

Late Pick-Up Fees: For youth in Extended Care, late fees will apply for those not picked up by 5:30 p.m.  For youth not signed up for Extended Care, late fees will apply to those not picked up by 3:45 p.m.

Other Important Information

Lost & Found: Every day, any lost and found items will be displayed in the pick-up area. Families are welcome to park and search through the pile for missing items.

Medicaitons: If your camper will need to take medications during camp, including over-the-counter medications, please put them in a ziplock bag with the camper’s name on it and clear, written instructions. Give all medications and instructions to a supervisor at drop-off. (Pre-arranged exceptions can be made for epi-pens and inhalers, but please communicate with the Camp Director about these exceptions before camp.)

*All medications should be added to the participant’s account in Ultracamp, so we are aware before camp starts. You can enter medications here.
