Cancellation & Refund Policies

If you need to cancel your registration, you may be able to do so online, depending on the dates and type of program your child is registered for. See the Cancellations section of our Parent/Guardian Handbook to learn how. If you are not able to cancel the program yourself, please email Customer Service your written cancellation notice.

Because we schedule staff, invest in supplies, and plan for expenses based upon the number of youth we are expecting, we must adhere to our cancellation policies. Most programs have non-refundable deposits, and all programs have cancellation deadlines after which no refunds will be given.

Cancellation Policy

Cancel 2 weeks or more before the program date: Receive a full refund, minus an administrative fee (varies by program, $10-25).
Cancellations made less than 2 weeks before the start of your program are not eligible for refunds.

General Policies

If Camp Fire must cancel a program and we cannot place your child in an alternative program, a full refund will be issued. Please read our Delays/Cancellations Due to Circumstances Out of our Control policy below for exceptions.
If your child leaves a program early or arrives late due to sickness, schedule conflicts, behavior problems, or for any other reason, there will be no refund or prorated fees.
Changes or exchanges of reservations will be considered on a case by case basis and are based on availability. An administrative fee of $10-25 per reservation may apply.
For our in-school and after school programs: Camp Fire will follow the direction of the school district regarding cancellations and delays. Camp Fire programs will be canceled if the hosting school is canceled for any reason. We will not be able to offer refunds or pro-rate the program based on these cancellations.

Delays/Cancellations due to circumstances out of our control

Circumstances outside of our control include weather, air quality, hazardous road conditions or any other community concerns that might affect the health and safety of our participants, volunteers and staff.
Circumstances can sometimes be less than ideal for our programs. We want families and our staff to be safe out there, and we also understand that many families rely on our services to be open and available.
We do our very best to avoid cancelling any program, but in the rare case that cancellation is necessary, we will not be able to offer refunds as we have already invested the majority of costs associated with running these programs. We will NOT cancel programs except in the very worst circumstances.
If there are hazardous road or air quality conditions on any program days, we may have a delay to our start time, schedule an early release, or amend the program hours.
If you decide not to send your child to a program because of external circumstances or personal reasons, we will not be able to offer refunds.

We will communicate any delays/cancellations with you via text message, so please be sure to update your primary contact’s bio with a cell phone number and indicate that it is “text enabled.”

Camp Fire believes that the best experiences for youth are ones that promote personal growth. In our programs, we weave intentional skill building with emphasis on social and emotional skills into all activities and interactions.

Think in advance about the consequences of my words and actions.
Be considerate and respectful of others’ feelings, bodies, and property.
Listen to and follow directions.
Participate in activities with my best effort.
Cooperate with and encourage the efforts of other participants.
Respect and protect the natural environment and program space.
Be honest, fair, and stay positive in play, activities, and interactions.
Acknowledge when I make a bad choice and commit to try again.
Problem solve differences or conflicts in a respectful and constructive manner.
Communicate to an adult when I need help or have a problem I can’t solve.

Adult staff and volunteers agree to …

Treat youth with respect and curiosity.
Model appropriate behavior.
Set clear and reasonable limits and expectations for youth.
Listen to youth input and perspective.
Encourage youth as they learn and try new things.
Pay attention to individual youth needs.
Assume good intentions from youth.
Communicate clearly and respectfully to youth when they make bad choices.
Problem solve with youth as needed to help them make the best choices they can.
Support youth in growing skills to solve conflicts and other problems independently.
